Ways to Organize Your Contacts

September 18, 2014

Because small law firms always need to be in touch with clients and colleagues, it’s important for your business to have up-to-date contact information readily available. That rolodex and address book aren’t going to cut it anymore! Luckily, there are plenty of digital tools that allow you to stay in touch with your contacts like never before.

Here are three tools that can help your firm depart from using old communication systems:

1. Evernote Hello

With the amount of networking that most lawyers engage in, it’s often difficult to remember when and where you’ve met one of your contacts. Evernote Hello, an app available on iOS and Android devices, enables you to do just that. The most recently updated version of the app allows you to import contacts into your address book by typing in their email, scanning their business card or adding them from a calendar entry. Once entered into the app, Evernote Hello scans Facebook and LinkedIn to find the most likely match and adds any additional data. Most impressively, if another phone is running the app in the same room, you can exchange contact information between devices in real time, logging the connection as an event within the app.

2. Signals for Outlook or Boomerang for Gmail

Once you’ve imported contact information to your device’s address book, you can use an extension for your Outlook account called Signals or Boomerang for Gmail to schedule follow-up emails. These programs allow users to draft email correspondence that can be sent at a later date and time. Being a successful networker requires you to regularly keep in touch with your contacts. With Signals or Boomerang, you’ll never forget to send that follow-up email, and with Signals, you can even see when the recipient opened it!

3. Smokeball

Having quick access to the details of all your client matters is key to providing top-notch service to your legal clients. Smokeball allows your firm to store a client’s contact information alongside their specific matter details so everything you need to know about them is in one convenient place. And because Smokeball syncs with Microsoft Outlook, all of the email correspondence between you and your clients are stored digitally for your entire team to access wherever and whenever they need it.
